Managing Staff & Staff Features

  • Multiple levels of "roles" in the system, dictating levels of permissions
  • Basic staff users have optional "supervisors"
  • Supervisors are able to "approve" or "reject" submitted content, like assessments or service notes
  • Secure (HIPAA-compliant) messaging between staff members
  • Keep track of staff HR details (pay, emergency contacts, etc)
  • Keep track of staff certifications and credentials
    • Supervisors & Admins are notified by email when staff certifications are nearing expiration

    • Service Notes can also be "group" notes, which apply to more than one client
  • Upload patient-specific documents (like scans of signed paperwork)
  • "Send" electronic documentation to the Client Portal for the client to electronically sign
    • The signed document is automatically saved as a PDF under the client's profile

    • Set time limits to submit Service Notes for basic users
      • Ex: Basic users must submit a Service Note within 3 days of performing the service
  • Specify permissions granted to "auditors," as far as what they are able to view or do in the system
  • Select through our extensive list of payers / billing sources. Almost every insurance plan in the US is available, and if any are missing they can be added at no charge
  • Establish different "eBilling Profiles" for different providers
    • This way, you can have multiple providers with their own NPI's and EIN's for electronic billing

 

Client Portal

  • Clients have the option of logging in to their own portal, included at no extra charge with your subscription
  • Staff can "send" assessments and other documents to clients to electronically sign and return as an immutable PDFs, saved under the client's profile
  • Clients can see upcoming appointments
  • Clients can see and start upcoming telehealth (video chat) appointments
  • Complete history of all client-signed documents available 24/7
  • Clients can manage more than one person
    • For example, a parent can manage their children's profiles, or an adult caretaker can manage their parent's, etc

 

Security & HIPAA

  • We take security and privacy very seriously
  • All communications and data is managed using HIPAA-compliant techniques
  • Servers are rated yearly for SOC-2 or SOC-3 compliance
    • This is the highest level of security rating in the industry
    • Servers are physically locked in cages, with both technological and human security measures in place
  • All data and files are stored encrypted, per HIPAA regulations
  • Users are automatically logged out if not using the system
  • Complex user passwords are enforced
